Welcome to our new system updates

We are delighted to present the newest improvements and features in TimeGuru that will optimise your time tracking and project management.

Our latest updates provides a range of improvements and new functionality for especially projects, subscriptions and invoicing.

This overview covers updates added from april – juli 2025.

Major update to the project module and related invoice features

It is important  to note that your existing invoice- and subscription configuration and will not be affected until you activate the new features if you wish to utilise them.

Project leader approval: Go to Menu > Projects > Project approval and you will find our new tool for approval of registrations on projects—Hours, mileage and expenses. The tool is an excellent report and it provides project leaders with a streamlined way to approve registrations across multiple projects in which they are designated as key personnel. Administrators have access and can approve on all active projects.

The report provides a clear overview of budgets, expenses, and new registrations. Additionally, you can click through to the registration reports to view all registrations included in the selected report. There are also options to revoke approvals, export to Excel, and toggle the displayed data.

New columns have been added to the existing reports for time registrations, mileage, and expenses, indicating whether a registration has been approved by a project manager—and by whom.

Project approval vs. invoicing

Via menu > Settings > System settings, step 5 “Invoice setup”, you can choose whether registrations should be included in invoices only after they have been approved by the project manager or department leader.

Project widget including task info

In the dashboard you will find your project widget, which displays information about the projects where you hold a key role, such as project leader. Currently, it shows the project budget, expenses, and a red warning if the overall project budget is exceeded.

What’s new is the addition of task-level details and a yellow warning when a subtask exceeds its hourly budget. When you click into the details view, you will now see, alongside the project summary, a tableliste all tasks with their respective budgets and expenses.

Invoice attachments (specification)

You can now activate individually configured invoice specification on your customers. To do this, edit the customer and go to Invoice setup. Here you can tick off ‘Append invoice specification’ (PDF) and you can configure in detail how it should be structured.

The specification is generated in real-time, which means that you can create a test invoice and try different setups without having to delete and recreate a new invoice each time.

If your system is configured to email invoices to your customers, the specification will automatically be added to the PDF sent by email—for those customers where it is enabled.

With invoice attachments, you keep the main invoice clean and simple, while all the detailed information is included in the attachment—and your accounting team stays happy 🙂

Material number for hourly invoicing

In addition to setting up your material number for general hourly invoicing, you can now assign a material number to individual activities. If this is specified, it will be used for automatic subscription invoicing instead of the general number. 

Importing price elements and hourly rates

If you prefer to calculate prices for your price elements in Excel, you can now download an Excel file (spreadsheet) containing existing price elements, prepare your updated prices for a specific date, and upload the rates to your system. The import can include both price updates for existing price elements and new ones. This feature is available via the administrator settings (gear) > Price elements.

We are constantly working on adding new widgets and optimising the functionality in the existing ones. You can toggle widgets on and off by clicking the tool icon in the top right corner in your dashboard.

The following updates are now available in ‘My dashboard’:

Hour bank widget

Employees can now generate an hour bank statement or Excel export containing all registrations in their hour bank—including deposits, usage, and adjustments. This improves transparency and reduces the need for support.

Request and approve widget

If you have set up certain activities to require leader approval, it is possible to request “Usage of acitivity hours”, ex. for compensatory time-off or work from home. Before, it was difficult for leaders to view details about the request—that is now corrected.

Week plan employees

It is now possible to remove employees without activities from the weekly view in the dashboard widget.

Updates for administrators

Account statement/Excel Export for the Hour bank

The Excel export has been updated to include two sheets. The first sheet displays registrations from the past 60 days, while the second sheet contains all recordssnce the beginning of the calculated period. Additionally, running totals have been added in the final column.

Option to activate negative balance in hour bank

It is now possible to configure employee types to allow the hour bank to go into a negative balance. There is a setting for hour bank leave and hour bank payout. This feature is useful, for example, if a specific group of employees is allowed to use up to X number of hours from the hour bank and earn them back later.
